1. Scope of Services
Travelkar Holiday Services specializes in providing curated domestic and international holiday packages. Our services include, but are not limited to, accommodation, transportation, and sightseeing arrangements as specified in your chosen package.
2. Booking and Payment
- All bookings are provisional until confirmed by Travelkar Holiday Services and payment is received as per the agreed schedule.
- A detailed breakdown of payment schedules and accepted modes of payment will be provided at the time of booking.
3. Availability
- Confirmation Subject to Real-time Availability: All bookings for packages, including but not limited to airline seats, hotel rooms, and other services, are strictly subject to confirmation based on real-time availability at the time of booking and payment. Travelkar Holiday Services shall not be held liable for any unavailability that arises before booking confirmation.
- Notification of Unavailability: Should any part of your confirmed booking become unavailable, Travelkar Holiday Services will endeavor to notify you as soon as practicably possible.
4. Accommodation Alternatives
- Handling Unavailability: In the event that a specific hotel or accommodation specified in your package is unavailable at the time of booking or shortly thereafter, Travelkar Holiday Services commits to arranging alternative accommodation of a comparable or higher standard and category.
- Customer Acceptance: Any proposed alternative accommodation will be communicated to you for your acceptance. If a mutually agreeable alternative cannot be found, Travelkar Holiday Services will offer a full refund of payments made for the affected accommodation component.
5. Refunds and Cancellations
- Cancellation by Travelkar Holiday Services: If Travelkar Holiday Services needs to cancel a tour due to insufficient bookings or any other reason, we will offer a full refund of all monies paid by you for the said tour. Alternatively, we may offer an alternative tour of comparable value, which you may choose to accept.
- Cancellation by Customer: Cancellation requests must be submitted in writing to Travelkar Holiday Services. The following refund policy applies:
- More than 30 days prior to departure: A cancellation fee of 10% of the total package cost will be deducted.
- 15 to 30 days prior to departure: A cancellation fee of 25% of the total package cost will be deducted.
- Less than 15 days prior to departure: No refund will be provided, and the full package cost will be payable.
- Unused Services: No refund will be provided for any unused portion of the package, including pre-booked meals, sightseeing, transport, or accommodation, due to illness, missed departures, or any other reason.
- Early Check-out: Refunds for early check-outs from hotels are subject to the hotel's individual cancellation and refund policy. Travelkar Holiday Services will act as a facilitator in such cases and is not directly responsible for the hotel's policy.
- Medical Reasons: While we sympathize with unforeseen medical emergencies, refunds for cancellations due to medical reasons are not guaranteed. Such requests will be assessed on a case-by-case basis and are contingent upon the refund policies of third-party service providers (e.g., hotels, airlines). Travel Insurance is highly recommended to cover such eventualities.
6. Hotel Check-in/Check-out
- Standard Timings: Standard hotel check-in time is typically between 14:00 and 15:00 hours, and standard check-out time is between 11:00 and 12:00 hours.
- Early Check-in/Late Check-out: Requests for early check-in or late check-out are subject to hotel availability and may incur additional charges, which will be borne by the customer. Travelkar Holiday Services will facilitate these requests but cannot guarantee their approval or cost.
7. Exclusions
The quoted package price includes only the services explicitly mentioned in the package itinerary. The following expenses of a personal nature are not included and will be borne by the customer:
- Airfare/Train Fare: Unless explicitly stated as included in the package.
- Visa Fees and Processing Charges: For international travel.
- Travel Insurance: Highly recommended for all travelers.
- Meals: Lunches, dinners, snacks, and beverages not specified in the itinerary.
- Personal Expenses: Laundry, phone calls, internet access, room service, alcoholic and non-alcoholic beverages, gratuities, tips.
- Activities and Entrance Fees: Any activities, monument entrances, or museum fees not specifically included in the package itinerary.
- Optional Tours: Any tours or activities chosen by the customer that are not part of the standard itinerary.
- Porterage: Charges for carrying personal baggage at airports, railway stations, hotels, etc.
- Cost of any other services not specified under "Inclusions."
8. Itinerary Modifications
- Right to Modify: Travelkar Holiday Services reserves the absolute right to modify, alter, or amend the itinerary of any tour package due to unforeseen circumstances, operational requirements, public holidays, weather conditions, strikes, civil disturbances, government restrictions, or any other event beyond our control.
- No Liability for Refunds or Compensation: In the event of any such modification, Travelkar Holiday Services shall not be liable for any refunds or compensation to the customer.
- Best Efforts for Alternatives: While we aim to maintain the integrity of the original itinerary, Travelkar Holiday Services will make every reasonable effort to arrange suitable alternative arrangements or activities where possible, without compromising the overall quality and experience of the tour.
9. Flight Cancellations
- No Obligation for Alternative Flights: In the unfortunate event of a flight cancellation by the airline, Travelkar Holiday Services is not obligated to provide alternative flights at the same cost.
- Customer Responsibility for Additional Expenses: The customer will be solely responsible for any additional expenses incurred due to flight cancellations, including but not limited to rebooking fees, new ticket costs, accommodation, and meals, unless covered by the airline's policy or the customer's travel insurance. Travelkar Holiday Services will assist in facilitating communication with the airline where possible.
10. Health and Medical Emergencies
- Customer Responsibility for Health: All travelers are responsible for ensuring they are medically fit to travel and for obtaining any necessary vaccinations or medical advice prior to their trip.
- No Liability for Medical Expenses: Travelkar Holiday Services shall not be liable for any medical issues, health problems, or medical emergencies that may arise during the tour. All medical expenses, including doctor's fees, hospital charges, and medication, are the sole responsibility of the customer.
- Refunds for Health-Related Cancellations: Refunds for cancellations or interruptions due to health issues are not guaranteed and are subject to the refund policies of third-party service providers. It is strongly recommended that all travelers purchase comprehensive travel insurance that includes medical coverage and trip cancellation benefits.
11. Force Majeure
Travelkar Holiday Services shall not be liable for any failure or delay in performance of its obligations under these Terms if such failure or delay arises from any cause beyond its reasonable control, including but not limited to acts of God, natural disasters, war, terrorism, civil unrest, governmental actions, pandemics, or any other event constituting force majeure.
12. Governing Law and Jurisdiction
These Terms and Conditions shall be governed by and construed in accordance with the laws of India. Any disputes arising out of or in connection with these Terms shall be subject to the exclusive jurisdiction of the courts in Nagpur, India.
13. Amendments
